We’re seeking a dedicated and organised Senior Receptionist to join our friendly Speech Pathology clinic in Blacktown. Please note: This position is not suitable for students or individuals new to the workforce, as we are seeking a long-term team member with advanced skills and experience.

About Us
Your Speech Room is a well-established private practice with a team of 12 speech pathologists. We support children and families with a range of communication and developmental needs. Our approach is personal, family-centred, and grounded in empathy. We value long-term relationships, with both clients and team members. What you’ll be doing

  • Welcoming clients and managing the front desk;
  • Answering phone calls and responding to emails;
  • Dealing with client feedback and complaints;
  • Processing payments including processing Medicare and Health Fund Claims;
  • Independent end-to-end management of accounts receivable and accounts payable;
  • Managing personnel compliance and payroll;
  • Preparing and maintaining client documents;
  • Managing team schedules so that all team members are happy and well supported;
  • Managing the administrative functions of the practice;
  • Proactively creating, reviewing, and updating policies and procedures to ensure WHS, Speech Pathology Australia and NDIS Quality Safeguards and Standards compliance;
  • Assisting the Director to analyse practice data, identify areas for improvement, and implement strategies to enhance efficiency and profitability;
  • Staying up to date with the latest news on Speech Pathology Australia (SPA) and NDIS;
  • Developing and nurturing relationships with all Your Speech Room team members and clients to ensure a first-class client experience is felt at each stage of the client journey.

What we’re looking for

  • Someone friendly, calm and reliable;
  • Excellent communication and customer service skills;
  • High attention to detail and organisational ability;
  • Confidence using technology (experience with Cliniko or similar systems is ideal but not required);
  • Ability to work independently and within a small team;
  • Minimum 2 years of experience in an administration/management role, preferably in a private healthcare practice;
  • Excellent organisational (and multitasking) skills with the ability to prioritise and manage competing priorities;
  • Strong problem-solving and decision-making abilities, with a focus on creating efficient and effective solutions;
  • Remarkable communication and interpersonal skills, with the ability to work collaboratively with the clinical team and liaise with external stakeholders.
  • Proficient in the use of client management software (preferably Cliniko), Xero, Microsoft Office, Google Drive, and Canva.
  • Preferably, you would have an understanding of healthcare compliance including privacy and confidentiality, the NDIS, and industry best practices.

Please note, this role is not suitable for students (e.g. student speech pathologists) as we are looking for a long term Senior Receptionist/Practice Manager.
