The opportunity

We are currently seeking a proactive and highly organised Personal Assistant to support the Head of Junior School for a 12-month fixed-term contract. This full-time role is based at our Canowindra campus, offering a dynamic and collaborative environment.

As the Personal Assistant, you will play a key role in ensuring the smooth and efficient running of the Junior School by providing comprehensive administrative support to the Head of Junior School. Duties and responsibilities will include, but not limited to:

  • Provide high-level administrative support to the Head of Junior School, including attending meetings, preparing papers, and taking minutes.

  • Assist with the organisation of functions and events, including venue bookings, catering, invitations, and presentations.

  • Draft communications, publications, and presentations, and maintain the Junior School SharePoint site and handbook.

  • Prepare monthly board reports and assist with the distribution of newsletters and staff bulletins.

  • Manage the Head of Junior School’s diary, appointments, and office systems, ensuring efficient scheduling and filing.

  • Track and manage the school’s budget, liaising with the Accounts Department for resources and payments.

  • Maintain and update student records, manage enrolment coordination, and assist with exam and camp arrangements.

  • Lead the Junior School Administration team, chairing meetings, and overseeing the work of administrative staff.

  • Collaborate with the Junior School community, ensuring effective communication and managing repairs and maintenance.

  • Engage in professional development and contribute to improving administrative practices while adhering to the College’s Code of Conduct.

Key Selection Criteria

  • Suitable qualifications; Business Administration or equivalent qualifications (minimum Certificate IV level) will be highly regarded

  • Significant previous experience as a personal assistant or equivalent position essential.

  • Word-processing and spreadsheet skills (particularly Microsoft Word and Excel) with the proven ability to acquire new technology skills

  • Knowledge and understanding of school administration packages such as COMPASS, SAS and EDVAL

  • Excellent organisation, calendar and time management skills

  • Strong ability to prioritise and remain focused under pressure

  • Adaptability and change responsive in an atmosphere of constantly shifting priorities.

  • A high level of attention to detail

  • Ability to maintain confidentiality in all aspects of student, staff, client and College information

  • High degree of computer literacy including use of Apple and iPad

  • Capacity to work autonomously, flexibly and with discretion

  • Capacity to build a strategic partnership with Head of School

  • Ability to use initiative and judgement in a range of situations

  • High standard verbal and written communication skills

  • Ability to analyse data and produce data reports

  • Excellent minute taking skills

  • A sound knowledge of, or experience in a comparable independent school setting will be highly regarded

  • A current Working With Childrens Check (employee), or willingness to acquire one, is essential
